Meetings
Captured meetings become smart notes you can reason with. Every meeting you capture is transcribed and turned into a report with a TL;DR, decisions, action items, and risks — each backed by evidence from the recording. This guide covers capturing, framing, reading, sharing, and managing meetings.
Your meeting library
The Meetings page lists everything you've captured, grouped by state and date: Up Next for upcoming meetings, then past meetings under date headers like "30 Jun" and "29 Jun".
Find a meeting
- Search — the search box accepts type, space, participants, outcomes and more.
- Sort — click the Sort button to toggle between Chronological and Alphabetical order.
- Calendar — click the calendar icon to open a month view; days with meetings are marked with a dot. Pick a day to jump to it.

Bot not admitted
What a meeting card shows
- Title, platform icon (for example Google Meet), time, duration, and attendees ("You + 4 more").
- Once a report is ready: count chips such as 3 action items, 2 risks, 1 decision.
- Status labels: Thout scheduled (bot will attend), Generating insights... (processing), Meeting insights (report ready), or Bot not admitted (greyed out — nothing was captured).
- Upcoming meetings also show Frame this meeting and Prep → shortcuts.
How to capture a meeting
Click the capture buttons at the top right of the Meetings page — the microphone, the link icon, or More capture options — to open the capture dialog.

Capture by pasting a meeting link
- Choose Paste a meeting link — the dialog says "Your CoS will join this meeting."
- Paste the link in the Paste meeting link here... field.
- Under When is the meeting?, set the date and time.
- Click Join meeting.

How Thout attends your meetings
When a bot is scheduled for an upcoming meeting, its card shows a Thout scheduled pill. After the meeting, the card moves through these states:
The Thout bot is booked to join this upcoming meeting.
The meeting was captured and Thout is processing the transcript into a report.
The report is ready — click the card to open it.
The bot was not let into the call. The card is greyed out and no report is available.
Note: logging out of Thout also gives you the option to stop your bot from joining meetings while you're away — see Getting started.
Framing a meeting before it starts
Framing tells your Chief of Staff what matters before the meeting starts, so the report focuses on the right things.
- On an upcoming meeting card, click Frame this meeting (or open the meeting and click Frame).
- Pick the primary purpose: Make a decision, Review progress, Resolve a blocker, Align stakeholders, Explore ideas, External sync, or Other.
- Pick what would make it successful: A clear decision, Ownership & next steps, Risks surfaced, Alignment achieved, Feedback gathered, or Other.
- Optionally add free text under "Anything else you want me to know?"
- Click Save frame — or Skip for now.

Checking the evidence
Every insight is backed by the recording. Click Evidence (1) under any item to expand it:

- You'll see a severity tag (for example Medium severity) and a confidence tag (for example Low confidence).
- Below them: the speaker, the timestamp in the recording, and the verbatim quote.
- Wrong or irrelevant? Click the X on an item to remove it from the report.
Meetings tips & FAQ
Why is a meeting greyed out with "Bot not admitted"?
The Thout bot wasn't let into the call, so nothing was recorded and no report exists for that meeting.
My meeting still says "Generating insights..." — what now?
Thout is still processing the recording. The card switches to Meeting insights when the report is ready.
What does "Low confidence" on the TL;DR mean?
The summary is based on limited evidence from the recording. Click the badge — or any Evidence button — to read the exact quotes it's based on.
Can I fix a wrong insight?
You can remove any decision, time-sensitive item, or risk with the X next to it, and edit the meeting name from the ⋯ menu.
What exactly does Share copy?
Three things to your clipboard: the meeting title, the TL;DR text, and a public share link.
Where do I find the transcript?
Open the meeting, click ⋯ > View transcript.
